Loosing emails?

Post by Forumadmin »

I recently did some trials to check the registration process and was dismayed to find that although I received the confirmation of the request to join, I did not receive the acceptance and activation confirmation. I found the latter email in my SPAM folder. Whether this was Google being too diligent or some other reason I do not know. Google said the message contained words that might be SPAM. I suppose I will have to rewrite the note.

Club Internet communication

Post by Keith Clements »

I have recently appended a request for club officers to blind copy the webmaster (me) on their initial response to a request through jowett.org. This was because I suspected the system was not working as it should do.

This helps me when you blind copy the initial replies as this comforts me to know the system is working. Sometimes SPAM filters capture the messages from Jowett.org, or for various reasons the mail relays do not work between jowett.org and an officer's mailbox server.

This is similar to snail-mail postal systems which can have similar problems, at least with this method of confirmation we are assured that no communications are lost.

A few years ago I set up mailboxes for all club officers but they were open to abuse by SPAMMERS as the mailbox names (e.g. javelinregistrar@jowett.org )were distributed in your replies and captured by hackers or simply guessed by SPAM programs. So this method was dropped quickly.
The mailboxes now give reponses similar to this
This email will not be forwarded to prevent unsolicited communication. Please use the requests form on jowett.org to send a message to the officer concerned. If then you do not get a reply from this volunteer, please use the requests form on jowett.org to alert the webmaster.

You can always send a fax or call the Spares department. See details on jowett.org.
The mailboxes did have the advantage of keeping all jowett.org mails together for the officers so that they could review easily.

I can filter the my mailbox which receives all jowett.org requests and thus double check that all communication have been answered. I can send specific officers the communications that should have reached them over the past year for them to check.

I am looking into a better method for managing the Internet communications of the club.

Have u checked mail server ips and urls against black listed data bases?
And if so and are listed , contacted the admin of these data bases (not the mail servers (eg aol, gmail, yahoo, msn etc) to have removed.
Removing can be a mission with some data bases, which encorages admins to monitor mail server logs far more closely.
Hotmail, Aol mail servers in particular are far tighter than the ave security settings with a very high level of issues with mail servers off blogs forums etc.
Another big issue with blog/ forum mail servers is the choice of wording to bypass word filters on mail servers, when not blacklisted....this comes to another issue... where bad wording has created a history with a particulr mail server like gmail/ aol/ msn/yahoo, even thu not listed on blacklist data based these use, it is listed on a "grey" list within the server.
Getting this changed one has to skip thru a 100 hoops before , and if , the ip/ url is removed.

Again intial setup of mail servers, and forum securities is esentual to aviod these deep pit falls...
I know this fro 10yrs of handsa on experiance at top level admin of servers on both sides of the coin.
My Spelling is Not Incorrect...It's 'Creative'
